AI implementation for SMEs · Warsaw

We build AI into how your company works. Not into slide decks.

We help small and mid-sized companies move specific processes onto AI: marketing and analytics, customer enquiries, documents and reports. We map the process and the data first, then build the solution on your own accounts and train your team to use it.

Sample data
  • GA4
  • Google Ads
  • Meta
  • GTM
  • Search Console
  • NapoleonCat
YouCompare cost per conversion in Google Ads and Meta for Brand A over the last 30 days.
/ AI assistantIn Google Ads, cost per conversion stayed stable throughout the period. In Meta it rose from mid-month, mostly in the remarketing campaign. I suggest reviewing that campaign's audiences.

The problem

Your company already has AI. Your processes haven't noticed yet.

Your team uses an AI chat, yet the report is still stitched together by hand from several dashboards, customer enquiries wait in the inbox and data gets retyped from one system into another. A tool on its own changes nothing. The process has to change.

  1. 01

    Data in too many places

GA4, Google Ads, Meta, Search Console, your CRM. Every question about results means several logins, an export and a spreadsheet.

  2. 02

    Repetitive work

Reports, retyping data, answering the same questions. It takes hours and needs no real decision.

  3. 03

    AI without rules

Everyone uses something different and nobody knows what data ends up in the chat. Meanwhile, the AI Act expects companies to support their staff's AI literacy.

In 2025, 8.4% of companies in Poland with 10 or more employees used AI, against an EU average of 20%. EU companies that considered AI but don't use it most often cite a lack of expertise (71%), unclear legal consequences (53%) and data protection concerns (49%). Source: Eurostat (opens in a new tab)

Know-how, rules and data. Every rollout we do starts with these three.

Let's look at your process

How we work

Process first. Tools second.

  1. 01 · free · up to 45 minutes

    Conversation

We get to know the company and pick one or two processes worth starting with. If AI makes no sense there, we'll say so.

  2. 02

    Audit and plan

We map the process step by step and check the data, tools and risks. We measure how things work today and agree with you how we'll know the rollout works.

  3. 03

    Pilot

We build the solution for one process, on your accounts and real data. Where it matters, a person approves the decision.

  4. 04

    Training and next steps

We train the team to use the solution. We compare results with the baseline and decide together: expand, improve or move on to the next process.

How we're different

Not a chatbot agency. Not a slide-deck consultancy.

Automation agency

Starts with a tool and a ready-made scenario. Fast, but the process often stays the same, just quicker.

Large consultancy

Strategy, analysis and a report, usually for large organisations with large budgets. Implementation is a separate project.

Postmanual

We start with the process and the data, build a pilot on your accounts and train your team. One person leads the project from the first call to the result.

Principles

What you can count on

Your accounts, your data

The solution runs on your accounts, with permissions you grant. You can revoke access at any time.

People decide

AI prepares, checks and suggests. Anything that reaches a customer or changes a setting is approved by someone on your team.

No promises in the dark

We don't quote savings percentages before the audit. We measure the baseline and check results against criteria we agree on together.

GDPR and the AI Act from day one

The plan already covers what data goes into AI and where it is processed. We don't replace your lawyer, but we know what to ask them.

FAQ

Frequently asked questions

How much does AI implementation cost?

It depends on the scope: the number of processes and tools, data access and how much work you want to hand over. That's why we quote after the free consultation, in writing, before any work starts. Tool fees, such as an AI assistant plan, usually come on top and are paid directly to the provider.

What happens in the free consultation?

A call of up to 45 minutes, online or in Warsaw. You tell us about the process you want to improve, and we ask about the data, the tools and what gets in the way most. At the end we tell you plainly whether AI makes sense and where to start. No commitment.

How soon will we see results?

We start with a pilot on one process, not a company-wide overhaul. The timeline goes into the plan after the audit, together with the criteria that tell us the solution works. We don't promise dates or savings before we've seen the process.

Is our data safe?

Solutions run on your accounts, with permissions you grant and can revoke. We connect to tools through official APIs. Before we start, we agree which data may go to AI models, with which provider and where it is processed. If we process personal data on your behalf, we sign a data processing agreement (Art. 28 GDPR).

Does the AI Act apply to us?

Most likely yes, even if you only use off-the-shelf AI tools. Since 2 February 2025, companies using AI must support their staff's AI literacy (Article 4). Since 2 August 2026, transparency rules apply, for example people must know they're talking to a chatbot. High-risk obligations have been moved to December 2027. We build this into the plan, but we don't give legal advice.

Do we need an IT department?

No. We need someone who knows the process and can make decisions, plus access to the tools you already use. We handle the technical side and train the team to use it.

Which tools do you work with?

In marketing and analytics, most often Google Analytics 4, Google Ads, Meta, Google Tag Manager, Search Console and NapoleonCat. We build assistants on AI models from several providers. We pick the tool to fit the process, not the other way round.

Will AI replace our staff?

That's not the goal. AI takes over the repetitive part: collecting data, drafting, retyping. Decisions, customer relationships and accountability stay with people, and the team gets more time for work AI can't do.

What if AI gets it wrong?

It can, so we design for that up front: testing on real cases before launch, human approval where a mistake is costly, an action log and the ability to roll back changes. We also teach the team how to check AI's answers.

Who are you and where do you work?

Postmanual is a team based in Warsaw that implements AI in small and mid-sized companies. We work with companies across Poland, remotely or on site in Warsaw, and with companies elsewhere in the EU in English. We speak Polish, English and Ukrainian.
