Privacy policy

In plain words: what data postmanual.tech collects, why, how long we keep it, who processes it and what rights you have under the GDPR.

Version of 18.10.2026

1. Who the data controller is

The controller of your personal data is the operator of the postmanual.tech website. For anything related to personal data, email hello@postmanual.tech.

2. What data we collect and why

The free consultation form. We collect your name, email address, company name and size (if you give them), the areas you want to improve, the process description, your preferred call language and the language of the page the form was sent from. We also record which version of this policy you saw. We use the data only to reply to your request and arrange a call. Legal basis: Art. 6(1)(b) GDPR, steps taken at your request before a possible contract.

Email. If you write to hello@postmanual.tech, we process your address and the message to reply. Legal basis: Art. 6(1)(b) or (f) GDPR (our legitimate interest in answering messages).

Security. To protect the form against automated spam, the IP address a request comes from is kept briefly in the server's memory (a limit on the number of requests). It is not stored with the request. The server may also keep technical logs. Legal basis: Art. 6(1)(f) GDPR (security of the website).

Visit statistics (Google Analytics). Only if you agree, we load Google Analytics 4 through Google Tag Manager. It collects, among other things, the pages you visit, approximate location, device and browser information and a pseudonymous identifier stored in a cookie. Legal basis: your consent (Art. 6(1)(a) GDPR and the Polish Electronic Communications Law). Without consent, Google Tag Manager does not load at all.

Form data never goes to AI models, and we never add it to mailing lists.

3. Cookies and browser storage

You can change or withdraw your consent at any time through “Cookie settings” in the footer. When you withdraw it, we delete the Google Analytics cookies stored on our domain.

4. Who we share data with

We use providers that process data on our behalf, only as far as needed to provide their service:

  • the provider of the server that runs the website and the request database;
  • Resend, Inc. (USA): an email service that sends us a notification about each new request. Data may be transferred to the USA under the safeguards of Chapter V GDPR, such as standard contractual clauses;
  • the email provider where we receive messages;
  • Google Ireland Limited (Google Analytics and Google Tag Manager), only with your consent. Data may be transferred to Google LLC in the USA under the European Commission's adequacy decision (EU-US Data Privacy Framework) and standard contractual clauses.

We don't sell data or share it with anyone for marketing.

5. How long we keep data

  • form requests and email correspondence: 24 months from the last contact; if we sign a contract, for its duration and until claims become time-barred;
  • IP address in server memory (request limit): no longer than one hour;
  • technical server logs: as long as needed to keep the website secure;
  • Google Analytics data: 14 months;
  • your saved cookie choice: until you change it or clear your browser data.

6. Your rights

You have the right to access your data, have it corrected or erased, restrict its processing and receive it in a portable form, and to object to processing based on legitimate interest. You can withdraw consent to statistics at any time; this does not affect processing before the withdrawal.

To use these rights, email hello@postmanual.tech. You can also lodge a complaint with the Polish data protection authority, the President of the Personal Data Protection Office (ul. Stawki 2, 00-193 Warszawa, uodo.gov.pl).

7. Other information

Giving your data in the form is voluntary, but without a name, an email address and a process description we can't reply to your request.

We don't make decisions based solely on automated processing, including profiling (Art. 22 GDPR).

If we change this policy, we will publish the new version on this page with a new date.
